Terms of service

Kairobot is a group scheduling service for organizations, operated by Omelas. Organizers create events, recurring events and tournaments, invite people by email or phone, and Kairobot collects their availability through private links and finds a time that works — automatically or with the organizer’s approval. People who are invited never need an account and never pay.

The organizer owns its event data — events, the people it invites and their availability. For that personal data the organizer is the controller and we are its processor; our data processing agreement is part of these terms. By inviting people, the organizer confirms it has a lawful basis to share their contact details with us and to have them contacted about its events — including any parental consent needed for minors.

• No spam invitations — only invite people who expect to hear from you.
• No unlawful, deceptive or abusive content in events or messages.
• No abuse of email or SMS sending — reminder limits exist to protect your members and must not be circumvented.

Plans are €29/month or €290/year, VAT included. Every new business gets a 14-day free trial — no card required. You can cancel any time via the Stripe billing portal; cancellation takes effect at the end of the paid period. Payments are processed by Stripe; we never see or store card data.

The service is provided as-is. To the extent permitted by law, our total liability is capped at the fees you paid in the 12 months preceding the claim. Nothing in these terms limits liability that cannot be limited under applicable consumer law.

We may suspend or terminate accounts that violate these terms — in particular spam or abuse of the invitation system. You can close your account at any time in Settings → Close account: your subscription ends and the account and all its data are deleted at once. Ask events@kairobot.work beforehand if you want a copy. Accounts without a paid plan that are unused for 24 months are deleted after an email warning.

These terms are governed by the laws of the Netherlands.
